A reliable rental plan closes questions in the right order. You do not need every napkin decided before asking about availability. You do need dates, a venue and a credible outline of the event.

At the first enquiry: share the shape of the event

Send the date, venue, estimated guest count, service style and equipment categories. Include setup and return dates, not just the celebration itself. Ask about availability early for essential matching collections. This guide gives an order of decisions, not a supplier's guaranteed booking deadline.

Once the menu and layout are clear: count properly

Agree the menu with the caterer and the room plan with the venue. Calculate pieces per service, add a reasoned reserve and round to the actual pack sizes. Separate guest equipment, service equipment and crew needs. Record the article numbers so later revisions do not accidentally change the collection.

Before confirming: make the quote complete

  • Confirm the exact rental period, quantities, VAT treatment and final payable total.
  • Check delivery, carrying, setup, collection and any out-of-hours work individually.
  • Clarify cleaning, return condition, packaging and the process for missing or damaged items.
  • Review payment, deposit, cancellation and change terms in the actual agreement.
  • Get availability and any agreed substitutions confirmed.

A basket estimate does not establish stock or a binding reservation. Keep the approved quote and agreed terms together with the final equipment list.

Before delivery: hand the plan to the people doing it

Reconfirm access, time windows, receiving contact and return arrangements. Share a simple layout showing equipment positions, reserve stock and empty containers. Give the receiving person the same list as the delivery team. Record discrepancies at handover while everyone can still clarify them.

After the event: make return part of the job

Remove food remains, sort items into the designated containers and follow the agreed return instructions. Count before the collection team arrives. Keep unclear or damaged items identifiable and report them through the agreed process; do not hide them in a mixed crate.

The event is not logistically finished when the guests leave. It is finished when the equipment has been counted, handed back and reconciled.

Assign a return lead before the event starts. It is a small decision that prevents a tired team from inheriting an undefined task the next morning.
